If you’ve clicked here it must mean you care a lot about your data privacy and about GDPR. If you’re here by accident and you don’t know what GDPR is, GDPR stands for General Data Protection Regulation and is designed to put you in control of any information you supply as part of your booking. As a sole trader who happens to work with people’s faces there is some stuff I need to do in order to comply.

It has yet to be confirmed if faces are considered personal data. In the meantime, what I do need to do is be compliant in handling any written info you give us. So here is Paul Hughes Video’s updated GDPR compliant privacy policy:

PERSONAL DATA I COLLECT

I collect your name so I don’t have to call you Sir/Madam, your email address so I can communicate with you, your phone number so I can call you and chat about your wedding day, your address so I know where I have to travel to. All of this is necessary for me to do my job.

HOW I COLLECT AND KEEP YOUR PERSONAL DATA

If you use the contact form on my website, this arrives as an email in my inbox that is password protected. If you book me as your Wedding Videographer, I will store your email on the client booking form and also with my email hosting company (a GDPR compliant company), information is only accessible by me. If you enquire but don’t book me, I delete all your personal data after your wedding date has passed. My website has an SSL certificate. Any personal information entered via my website is secure and private. 

RIGHT OF CONFIRMATION, ACCESS, RECTIFICATION AND DELETION

If you have questions about how your personal data is handled, you can contact me using the info below. I’m happy to show you the information I hold. If some of the information is wrong, you have the right to correct it. If you’d like me to delete all your personal data, you have the right to request it, but I wouldn’t recommend asking for that before your wedding. I definitely need to know details about you to work for you. I do have keep email addresses of my clients in the database for the duration that I provide your online delivery - if you’d like to fully close your account let me know and I’ll close it ASAP.

USE OF YOUR DATA

I will use your email and phone number to contact you about your wedding. If there’s something unrelated to your wedding but related to something we had a conversation about, I may well contact you about that too. I don’t give your information out to anyone else without your consent. I also don’t send newsletters. I do sometimes give out phone numbers to second shooters.

On my booking form I ask you for details about your wedding day, that information doesn’t go anywhere apart from my computer and a printed copy for my booking folder. After you take delivery your wedding film I file your booking form and any related files.

If you opted to have your wedding film delivered online the file(s) are stored in a secure cloud server, (a GDPR compliant company) and is accessed via a secure password protected area of my website. Files located in the login part of the website aren’t visible to anyone other than you. You may opt to share the login details with whoever you choose but do be mindful that the privacy of your wedding film may be compromised by sharing login details. As part of your booking I keep a securely stored off-line copy of all files relating to your wedding film for backup purposes should you ever need it.

Occasionally third parties ask to use some of my work. I don’t submit anything to third parties without your consent.

USE OF FACE-BASED DATA

When it comes to video, the EU hasn’t gotten too specific about what that means for Videographers, I need to demonstrate reasonable and legitimate use. I won’t sell your wedding film or any part of it without your consent. If a third party does approach me asking to licence some of the footage from your wedding, I will contact you about it.

SHOWCASING

There’s a couple of things I do to run my business, like show some of my work on my website and Social Media accounts, anything posted is public and usually hosted on third party sites these sites are also GDPR compliant. I do ask couples to opt into this in my contract, but you have the option to keep your wedding private. I respect your privacy and accept that some people don’t want to be on the Internet. Even if you opt in on the booking form I will ask you directly after the wedding if you’re OK with me putting you and your guests on my website and social media accounts. It is your responsibility to ask your guests’ permission.
